Camper Data Privacy and Protection Policy Ultra Camp Registration Software

All camp registration will take place using the UltraCamp Software. The UltraCamp software has been vetted for all cyber security and PCI compliance.
No personal information will be sold or shared. All information collected shall only be used by CCE Suffolk for the program associated with the account or related programs.
Camper accounts are created by the parent or guardian who is responsible for registration. While setting up the account the primary parent or guardian will set the roles of the family members.
UltraCamp allows the primary member when creating the roles of other members to mark them as a parent/guardian or child. CCE Suffolk Staff are not permitted to update adult member roles without the consent of the primary member in writing.
All communication though the UltraCamp system is done through the primary parent/guardian unless the primary account member selects additional members to be cc’d on email when creating their profile.
Only the primary member will have access to add and delete information in the account and see forms and health information that have been uploaded or entered into the account.
If the primary member would like to give additional members access to make changes to the account, upload or see forms they would need to provide them with login information.
Passwords can only be re-set by email or text to the primary member.
Alternate contacts can be created by the primary member. Alternate contacts would be emergency contacts and only used if the primary member and secondary member cannot be reached in the event of an emergency. Information should only be provided to alternate contacts in the event of an emergency. Only information relevant to the emergency shall be provided.
Pick Up authorization – All members listed as primary and secondary may sign out participants unless the primary member notifies the specific CCE Suffolk program differently. The primary member may list additional pick-up authorizations in the account at any time.
Friend accounts – sometimes the Primary account holder wants to share the magic of camp. They can set up Friend accounts in Ultra camp. When adding someone as a Friend account Ultra Camp will send them an invitation. This invitation, when activated will give the Friend access to view the photo gallery and send one-way emails to the camp if the camp is using those features.
