Frequently Asked Questions

Finance

Q:Can I register without a payment?
A:No, we do require a deposit in order to save your registration. The non-refundable reservation fee is $50 for Day Camp sessions and $100 for Overnight Camp sessions.

Q:Do you offer financial aid?
A:Yes, we have a Campership program! The application can be completed in your UltraCamp account, and is found in the document center. Funds are first come first served, so make sure to apply early!

Q:When are final payments due?
A:Final payment and all paperwork is due by June 1st.

Registration

Q:Can I request a specific friend be in my camper's cabin?
A:Of course! When we make cabin assignments, the first thing we look at is friend requests. The buddies just need to be registered for the same unit in the same session. You can make buddy requests on the Camper Information Form.

Q:Can my 5th grader be in a group with their 6th grade friend?
A:Yes! If your camper has a friend who falls into another unit based on the grade they are entering the following fall, please contact us to develop a plan for moving one of the campers up or down to ensure that they can be together.

Q:Can my child stay at camp for more than one session?
A:You are welcome to sign your child up for more than one session. We do offer weekend stay options twice per summer. If you sign your camper up for that, then they can stay at camp for two weeks straight. If there is no weekend stay offered then they would need to be picked up between sessions.

Q:How do I know what unit to register for?
A:Units are based on the grade that your camper will be entering in the following fall. For example, our Discoverer unit is for 6th and 7th graders, so you would be registering for Discoverer if your camper is currently in 5th or 6th grade.

Waitlists

Q:How does the waitlist work?
A:Once a Camp Kirby session has filled, a waitlist option will become available. Anyone who is eligible for the session can sign up for the waitlist at no cost. If a spot opens up, the first person on the waitlist will be automatically notified via the email address on their UltraCamp account. The spot will then be held for 72 hours (three days). If the first person on the list has not been registered by the 72 hour mark, then the system will automatically email the next person on the waitlist, and the process will begin again. This process is automatically triggered if someone cancels their registration, so you may not receive a personalized email or call from a Camp Kirby representative. Since this is an automated system, the 72 hours can also start at any time (including nights and weekends), so we recommend checking your email every couple of days if you are waitlisted for a session.

If you are on the waitlist and a spot opens up for you, you will need to register AND pay the deposit within the 72 hour window. If the spot opens after the June 1st payment deadline, then payment will be required in full.
