Registration

Q:What is the refund or cancellation policy?
A:Parents/guardians must inform the Summer Studio Office in writing if they are withdrawing their child from any class. If a cancellation is made at any time before May 1, 2020, all payments, minus the non-refundable deposit, will be refunded. No refunds will be granted for withdrawals after May 1, 2020. Deposits are non-refundable and non-transferable between classes, siblings, and other programs offered by The Langley School.

If a class is under-enrolled, Summer Studio reserves the right to cancel the class and a full refund will be granted. Advance notice will be provided in these situations two weeks prior to the start of class, and the Summer Studio team will help families find alternative class options. In cases where the cost of the new class is greater than the class being replaced, the price difference will be charged to the camper. All changes are based on availability and grade requirements.

There are no refunds for absences and there is no provision for make-up classes. No refund will be granted in the event of dismissal for inappropriate or unsafe conduct.

Q:What form payment do you accept?
A:We accept Visa, MasterCard, American Express, and Discover.

Post Registration

Q:What forms do I need to complete in order for my child to attend Summer Studio?
A:All campers who attend Summer Studio must have the following forms completed and submitted to the Summer Studio Office before the first day:

Proof of Identification Form (this must be completed in person)
Commonwealth of Virginia School Entrance Health Form
Medication Authorization Consent Form completed by a parent/guardian and physician (only if prescription medication is required)


Q:Can I add more classes after I have registered my child?
A:Yes. To add more classes to a completed registration, log in to your account and select the available week(s). To add classes to an existing week, please e-mail the Summer Studio Office at summer@langleyschool.org.

Q:Can I change my child’s class schedule?
A:Space permitting, class changes may be made before registration closes for a camp week. A $25 fee will apply to each change in a camper’s schedule, plus the difference in cost between the classes. Please e-mail class change requests to the Summer Studio Office at summer@langleyschool.org.

Health + Safety

Q:What do I need to do if my child needs prescription medication?
A:In order for prescription medication and over-the-counter (including EpiPens and Benadryl) to be administered to a camper, a written Medication Authorization Consent Form must be completed by a parent/guardian and the child’s physician.

All medication must be in the original container, with the child’s name, the name of the medication, and the dose of the medication indicated on the prescription label. All medication will be kept in the nurse’s office.

The Langley School requires all parents/guardians to provide the school with at least two EpiPens (epinephrine injectors) if they have informed the Summer Studio Office that their child has a potentially life-threatening allergy. If medication and documentation are not provided, the child will be sent home and not permitted to return to Summer Studio until all materials have been submitted. Medication must be picked up at the end of Summer Studio.

Q:How do I add or remove an alternate pickup?
A:From your "My Account" page, click on the Pickup Authorization tab and select "Add/Edit Pickup Authorization."

Q:How do I update my child's Summer Studio Health Form?
A:From the "My Account" page, select the appropriate child and click on the "My Forms" tab. Select the Summer Studio Health Form link and make your updates.
