Loucon Payment and Refund Policy

Camp:
In most cases, payment is due at registration in order to confirm a space.
If applying for scholarship aid, a child’s place will be held until the amount is awarded and payment arrangements are made.
Loucon may offer a payment plan for campers, but this will not be listed as a public option.
Payment from churches or other group registrations is due at the time of arrival for camp
Parents/guardians will be responsible for registering the child, providing medical information, and signing permission forms
In order for camp to be tax-free, churches/nonprofit groups will be responsible for paying the full amount for kids they send. Any money collected from parents should go to the church rather than Loucon.
A group requesting scholarships for one or more campers must provide a list of those campers to Loucon before registration is finalized.
Cancellations more than 30 days from the start of the payee’s camp may receive a full refund, minus a $35 processing fee.
Within 30 days, refunds will not be issued. Exceptions for illness may be made at the discretion of the director or program director.
Retreats
Reservations are not confirmed until a contract has been issued and a deposit of 35% of the total food and lodging cost has been received. Guests have 14 days from the issuance of the contract to pay the deposit.
75% of the total estimated amount is due upon arrival.
A final bill will be issued within 7 days of departure and is due 30 days from issuance.
Cancellations more than 90 days before the group’s arrival may receive a deposit refund, minus a $35 processing fee.
Cancellations made 30-90 days before arrival will not receive a refund, although a group may use that deposit to book another retreat within six months of the original.
Cancellations made within 30 days of arrival will not receive a refund. Another reservation will require a separate booking and deposit.
Meal costs will be fixed 7 days before arrival, after which they may not be changed except by the discretion of the hospitality director.
