Norte Youth Cycling
Program Policies and Waivers
Cancellation & Refund Policy - The following guidelines apply to all Norte programs.
Parent/Guardian/-Initiated Cancellations:
All programs require a 25% non-refundable deposit.
1. Cancellations initiated 30 or more days in advance of a program start date are eligible for a 100%
refund minus the 25% deposit.
2. Cancellations initiated 14 or more days in advance of a program start date are eligible for a 50%
refund minus the 25% deposit.
3. Refunds will not be made for cancellations initiated within 13 days of the program, event, camp, or
class start date for any reason, including illness or injury.
The following table shows the total refund amount by program based on the policy listed above.
Norte-Initiated Cancellations
1. Low Enrollment: A 100% refund will be issued if minimum participation is not met and the program
cannot occur as planned.
2. Staffing Shortages: A 100% refund will be issued if Norte Youth Cycling staff shortages prevent a
program from occurring.
State, Local, or Federal Authority Cancellations:
1. 100% refund (minus 5% service fee) if the program cannot begin.
2. Prorated refunds will be issued if the program has begun and is discontinued.
Weather-Related Cancellations and/or Delays
1. All decisions place the safety of our participants, staff, and volunteers at the forefront.
2. Weather-related decisions will be made by Norte staff for each program and location
independently.
3. These decisions will factor in variables such as temperature, terrain, shelter accessibility,
participants' ages, duration, direction of inclement weather, wind speed, wind chill, visibility, and air
quality.
4. Norte staff will reference data presented by The Weather Channel for consistency.
5. General guidelines suggest cancellation of programs when the wind chill or feels-like temperature is
45 degrees or below.
6. We will not ride in high winds (25mph or more) or in lightning.
7. We will not ride when air quality values are 200 or higher, using the U.S. Air Quality Index.
8. Camps will be cancelled if the heat index is projected above 95 degrees.
9. Coaches, guardians, parents, and host location staff will be contacted promptly by email and the
text messaging feature embedded within the UltraCamp Registration platform.
10. Cancellations will also be made accordingly when local school districts cancel school or after-school
programs due to inclement weather.
Summer Bike Camp
1. Weather-related cancellations or camp delays will be communicated at or before 7:00 AM on the
morning of Summer Bike Camp.
2. Cancellation notification texts and emails will be sent using the feature embedded in the UltraCamp
registration platform.
3. A maximum of a 2-hour delay can be called for 6-hour camps.
4. Programs under 3.5 hours will be canceled, not delayed.
5. Canceled Summer camp sessions due to inclement weather cannot be rescheduled, nor are they
refunded.
Summer Bike Camp will be:
1. Cancelled when there is a 60% chance or greater for rain that is predicted to exceed 60 minutes
total during camp time, including drop-off and pick-up times.
2. Cancelled when there is a 50% chance of thunderstorms during the programming time, including
during drop-off and pick-up times.
3. Severe weather predicted during drop-off/pick-up times may result in a delayed start or an early
end to programming. In some cases, teams may be reassigned to different pick-up locations around
the Grand Traverse County Civic Center property to ensure shelter is available for all riders.
4. General guidelines suggest cancellation of programs when the wind chill or feels-like temperature is
45 degrees or below.
Spring or Fall - Mountain Bike Club
1. Weather-related cancellations will be communicated at or before noon on the day of practice.
2. Cancellation notification texts and emails will be sent using the feature embedded in the UltraCamp
registration platform.
3. Weather-related delays are not issued for our Mountain Bike Club.
4. The first weather-related cancellation will not be rescheduled.
5. If a second weather-related cancellation occurs, the practice will be made up on the date already
designated in the registration contract.
6. Additional canceled practices will not be made up.
7. Canceled sessions will not be refunded.
Spring or Fall Mountain Bike Club will be canceled when:
1. Local school districts cancel school or after-school programs due to inclement weather.
2. Trail riding conditions are deemed unsafe for participants, or the terrain would be unreasonably
damaged by our use.
3. There is a 60% chance or greater for rain that is predicted to exceed 60 minutes total during
program time, including drop-off and pick-up times.
4. There is a 50% chance of thunderstorms during the programming time, including during drop-off
and pick-up times.
5. Severe weather predicted during drop-off/pick-up times may result in a delayed start or an early
end to programming. In some cases, teams may be reassigned to different pick-up locations.
6. General guidelines suggest cancellation of programs when the wind chill or feels-like temperature is
45 degrees or below.
Spring or Fall - Adventure Bike Club, Balance Bike Club, and Pedal Power
1. Weather-related cancellations will be communicated at or before noon on the day of practice.
2. Cancellation notification texts and emails will be sent using the feature embedded in the UltraCamp
registration platform.
3. Weather-related delays are not issued for Adventure Bike Club, Balance Bike Club, and Pedal
Power.
4. The first weather-related cancellation will not be rescheduled.
5. If a second weather-related cancellation occurs, the practice will be made up on the date already
designated in the registration contract.
6. Additional canceled practices will not be made up.
7. Canceled sessions will not be refunded.
Spring or Fall - Adventure Bike Club, Balance Bike Club, and Pedal Power will be canceled when:
1. Local school districts cancel school or after-school programs due to inclement weather
2. There is a 60% chance or greater for rain that is predicted to exceed 30 minutes total during the
program time, including drop-off and pick-up times.
3. There is a 50% chance of thunderstorms during the programming time, including drop-off and
pick-up timeframes.
4. General temperature guidelines suggest cancellation of programs when the wind chill or feels-like
temperature is 45 degrees or below.
Community Events and Initiatives
1. Community events and initiatives will be canceled if there is a 60% chance of rain at the event time
or a 50% chance of thunderstorms, based on a weather reading at or before four hours before the
starting time of the event.
2. Community events and or initiative cancellations will be noted on our social media sites.
3. If registration was required, registrants will be emailed.
