Gilmour Academy Online Privacy Policy

The privacy of all students, parents, faculty and staff, and members of the public who visit this website for any purpose ("users") is a matter of significant importance to Gilmour Academy (“Gilmour”), and it is Gilmour's policy to take reasonable steps to respect the privacy of users regarding any personally identifiable information which Gilmour may collect from time to time while operating this website (the "Site"). To that end, Gilmour has created this privacy policy ("Privacy Policy") to inform users of Gilmour's policies concerning privacy and its practices concerning the collection, use, and disclosure of personally identifiable information that users may provide via the Site. This Privacy Policy applies to personally identifiable information that is collected online from all areas of the Site, whether public areas or areas that are password-protected. Please read this entire Privacy Policy before using or submitting information to this Site.

For purposes of this Privacy Policy, (i) the terms "we," "us," or "our” refer to Gilmour and (ii) the terms "you," "your" or "yourself" refer to the user who is using this Site.
Personally Identifiable Information/ Non-Personally Identifiable Information

The term "personally identifiable information" refers to information that tells us specifically who you are, such as your name, phone number, email or postal address. The amount of personally identifiable information that you choose to disclose to Gilmour is completely up to you. The only way we obtain personally identifiable information about you is if you provide it to us in conjunction with using one of the services we make available through the Site. In operating the Site, Gilmour may also collect non-personally identifiable information of the sort that web browsers and servers typically make available, such as your Internet Protocol (IP) address, browser type, language preference, referring site and date and time of each visitor request. Generally, the purpose in collecting information of this nature is to better understand how visitors find and use the Site, and how the Site, access to the Site or the scope of services offered on the Site can be improved. Gilmour reserves the right to release or disclose non-personally identifiable information from time to time.

Your Consent

When you access or use this Site, you consent to the collection, use, and disclosure of your information in accordance with this Privacy Policy. By providing personally identifiable information to the Site, you fully acknowledge that you understand and consent to the collection, processing and use of such information according to United States law and the terms of this Privacy Policy.

Collection of Personally Identifiable Information

We collect personally identifiable information from users both by asking specific questions and by permitting you to communicate directly with us via e-mail and the site’s other online functions. The amount and type of information collected depends on the nature of your use of the Site. For example, if there are areas of this Site which require you to register as a user as a condition to access, you may be asked to provide information such as your name, address, email address, phone number, date of birth, gender, user name and/or password associated with the password protected portions of this Site, educational and professional information and other personally identifiable information. There are also portions or features of the Site (such as the online store, online giving or features which allow you to pay tuition or other charges) where you may be required to provide us with credit card information. Our use and disclosure of any personally identifiable information collected in this manner is subject to this Privacy Policy.
Use and Disclosure of Information

Personally identifiable information that you provide to Gilmour is typically stored, processed, and used by us to maintain a database of contact information and update records, contact you, provide you newsletters, updates, literature or other information about Gilmour, respond to your requests for information and engage in transactions with you. In connection with activities of this nature and other professional, technical and administrative services, we may provide your personally identifiable information to employees, agents or service providers acting on Gilmour’s behalf to the extent they need the information to perform their functions for us and on the condition that they agree to use any personally identifiable information consistently with the terms of this Privacy Policy and only for the purposes for which we disclose it, and not for their benefit or the benefit of any other third party. Further, with regard to users who are alumni of Gilmour, some personally identifiable information we collect may be shared from time to time with other alumni for purposes related to alumni activities, such as class reunion and alumni fundraising activities. In addition, if you request or direct us to do so, we will disclose personally identifiable information about you as so requested or directed by you.

Additional Circumstances Where Information May be Disclosed

In addition to the above, Gilmour reserves the right to disclose personally identifiable information to appropriate third parties in instances where it is required to do so by law or we believe that such action is necessary. Situations or circumstances of this nature include the following:

Privacy of Children

The Children's Online Privacy Protection Act requires that we never knowingly collect personally identifiable information from children under the age of 13 without prior verifiable parental consent. Gilmour requires that all parents and legal guardians of students under the age of 13 review and sign an authorization form each year that will permit us to collect and maintain personally identifiable information about their children. In instances where we discover that we have inadvertently received unauthorized personal information from a child under the age of 13, we will delete such information unless we have received verifiable consent from that child's parent or legal guardian to keep it.

Gilmour may collect personal information from students when they use their school e-mail account. Students will not have, or be able to use, a school e-mail account without our having a current parental authorization form. Where a student corresponds with us via e-mail, we may store, process and use any personally identifiable information contained therein to communicate with the student and/or his parent or legal guardian, to address technical issues with the student's e-mail account or access to the internet or network, to update our records or perform other administrative functions. We may retain the student's e-mail messages together with his e-mail address and our responses. We may provide the collected information to employees, agents or service providers acting on Gilmour's behalf in connection with these activities subject to the same limitations and exceptions noted above in the sections entitled "Use and Disclosure of Information" and "Additional Circumstances Where Information May be Disclosed".

In addition, Gilmour may disclose such child's personally identifiable information if you, as parent or legal guardian, direct us to do so. A parent or legal guardian may request that Gilmour not disclose personal information about their children to third parties, except as described in the section above entitled "Additional Circumstances Where Information May be Disclosed ". If so desired, you may also review your child's personal information, ask to have it deleted and refuse to allow any further collection or use of the child's information. If you wish to take any of the foregoing actions, please see "How to Contact Us" below for information on how to contact Gilmour.
