Activities

Q:Can I add additional people to activities once we are at camp?
A:If the activity can accommodate additional individuals at that time, then your group will be charged for the individuals that were added. The money paid for activities is non-refundable and non-transferable. Please note: If the person who made the reservation in UltraCamp is not present on camp absolutely no changes or additions can be made for the camping weekend.

Q:Can I volunteer to facilitate activities for my group at camp like archery, swimming, ropes, etc.?
A:No. GSNETX employs certified activity instructors for all activities at camp. If you are interested in becoming an activity instructor for GSNETX, please contact humanresources@gsnetx.org regarding possible employment opportunities.

Q:Can siblings, tagalongs and other family members participate in outdoor activities that require registration, like high rope, archery, zipline, etc.?
A:No, tagalongs, siblings and other family members are not able to participate in regularly scheduled outdoor activities. There are, however, opportunities for them to participate in such activities during family events. Please check the schedule for available events.

Q:Do we get to choose our activity times?
A:For Camps Bette Perot and Gambill, you will purchase activity spaces in UltraCamp for the number of participants that wish to participate in the specific activity. You will receive your activity schedule approximately 1 week prior to your campout. If your activity has a choice in the description a camp staff member will reach out to you, so we are able to provide the best experience possible.

Please note that some activities may be scheduled on Sunday.

For Camp Whispering Cedars, groups choose their time block in UltraCamp. If there are any issues that may arise from bookings, our Outdoor Activities Manager will reach out.

Q:If a participant is wearing a cast, boot, etc. what are their options for their activities?
A:Participants must have a medical release from a doctor stating activities they are permitted to participate in as well as any limitations. Please note for any activity camp staff reserves the right to decline participant participation in regard to safety.


Q:If we miss our activity, can we show up at a different time?
A:No. It is important that all groups show up at the time assigned by GSNETX camp staff. If individuals do not show up at the assigned activity time, then your group will not receive a refund for those activity spots and all money paid for those spaces are non-refundable and non-transferrable. Please note that your group may not be accommodated if you arrive late to an activity, or you may receive a modified experience to fit within the time your group has remaining at that activity, and you will not receive a refund in this situation.

Q:What happens if bad weather causes an activity to be cancelled or rescheduled while we are at camp?
A:Camp staff will work to reschedule your activity at a mutually agreed upon time. If activities are mutually rescheduled for a later time that weekend, you MUST show up on time for your rescheduled activity as we will not refund any ‘missed’ activity time.

If camp staff is unable to reschedule your activity due to weather; activities will be automatically refunded back to the card in the reservations account.


Q:When is swimming offered?
A:Water temperatures are difficult to predict ahead of time since they are greatly influenced by weather. Typically swimming is offered in September and May.

Q:When should I reserve activities for my camping reservation?
A:We recommend that you reserve your activity space as soon as you know that you want to participate in that activity. Activity spaces are limited and the system updates as reservations are made. As a result, if you do not reserve the activity when you see it is available, there is a possibility that someone else may reserve that space before you. However, if you do not see an activity available that you would like to participate in, please email camp@gsnetx.org to inquire.

Camp Kadohadacho

Q:Are there any limitations on what we are allowed to do while at Camp Kadohadacho?
A:No. Your group can participate in waterfront activities (swimming, canoeing, kayaking, etc.), bring supplies for archery or fishing. There will be no camp staff on duty, so you must follow the protocols in the Safety Activity Checkpoints for each activity and have a certified adult for each activity, such as a lifeguard, canoe or kayak certified adult, etc.

Q:Is the gear provided for us if we want to camp at Camp Kadohadacho?
A:No. You are responsible for providing all of your camping equipment if you request to reserve a space at Camp Kadohadacho.

Q:What is the Camp Kadohadacho Experience?
A:The Camp Kadohadacho experience is for primitive camping. Camp Kadohadacho allows you and your troop to enjoy stargazing and discover the local flora and fauna as you explore the trails of the camp. Please email camp@gsnetx.org if you need ideas on other possible activities you can do on your own at Camp Kadohadacho.

Camp Whispering Cedars Workshops/Family Events

Q:Do I need to be part of a troop to participate in outdoor activities, camping, workshops or family events at Camp Whispering Cedars, home of the STEM Center of Excellence?
A:You can participate in programming as a Juliette, with other members from your troop, or be the only Girl Scout from your troop.

Q:What do I bring with me to Camp Whispering Cedars, home of the STEM Center of Excellence workshops and family events?
A:You will receive a list of suggested items in your confirmation email. Confirmation emails are sent out 5 days prior to the event. In some cases, the confirmation emails will be sent closer to the date of the event if details are still being finalized. All confirmations come from cwc@gsnetx.org.

It is recommended to wear closed-toed shoes, to bring a reusable water bottle for hydration and a snack for your Girl Scout if she is participating in a long program.


Q:Will I receive a badge or a fun patch at programs that take place at Camp Whispering Cedars, home of the STEM Center of Excellence?
A:During workshops and journey in a day experiences, we do provide badges or fun patches if the Girl Scout completes the entire experience and what is given depends on the program being offered.

Badges will not be provided if the Girl Scout does not complete the entire program - I.e., does not stay for the duration of the workshop/journey, does not participate while in the program, etc. It is up to the discretion of the staff member leading the program whether or not to grant the patch.

Not all family events will have fun patches provided.


Q:Will there be a meal break during 4-hour programs at Camp Whispering Cedars, home of the STEM Center of Excellence?
A:There will be a 15-minute break in all 4-hour programs. Please pack a snack for your Girl Scout.

Campout Experience

Q:Are girls permitted to attend weekend camp without supervision?
A:No. Girls are not permitted to attend weekend camping without appropriate adult supervision.

Q:Can my troop schedule a time to earn a horseback riding badge when we are camping at Camp Bette Perot?
A:Yes. Please reserve your preferred program grade level in UltraCamp. If you do not see your preferred PGL, please reach out to camp@gsentx.org with your request.

Q:Do we have to be troop camp trained in order to attend a Family Camp weekend at Camp Bette Perot, Camp Gambill, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:No. You may attend without being troop camp trained. If you wish to have a campfire for any reason and are not troop camp trained, you will be required to learn proper camp procedures from a member of camp staff prior to your first fire and agree to follow all of the procedures. Camp staff will work with you to set up the time and location of the training after you arrive at camp.

Q:Do you accept other Girl Scouts Council troop camp training certification?
A:Yes. If you are visiting from a sister Girl Scouts Council, we will accept your council’s troop camp training. You will need to upload your certification in UltraCamp.

Q:How should medications be stored while we are at camp?
A:In compliance with ACA standards, all medications are required "to be stored under lock except when in the controlled possession of the person responsible for administering them." This applies to both prescription, over the counter, and herbal items.

As a reminder, Safety Activity Checkpoints state that, "Girl Scout councils require an annual health history form to be completed and signed by one parent/guardian for every Girl Scout and filed with the troop leader. The form should reflect any significant medical condition, health issue, or allergy and be updated each year. The form can also reflect any over-the-counter medication that a girl is not permitted to take, if there are any. If parents send medication on trips or activities, it should be in an original labeled container, controlled and administered by one designated adult. "

In addition, the GSNETX Volunteer Policies and Procedures states, "Medication must be in the original container, prescribed for the person who is to receive the medication, and cannot be expired. A volunteer must have written permission from the parent/guardian to dispense the medication to a Girl Scout or individual under the age of 18 who is participating at a Girl Scout event or activity."


Q:If my troop has made a weekend reservation and paid full price for each participant, can some of my troop members choose only to show up for a day use or a limited time of the weekend?
A:Each group has a specific time they are scheduled to arrive on Friday and depart on Sunday. However, we understand that occasionally circumstances may arise that would prevent a girl from joining her Troop/SU for the entire weekend. Please reach out to camp@gsnetx.org if you have a special request for someone in your troop to arrive on Saturday and camp staff will let you know if there are any check-in spaces available.

Q:Is day use available for troops?
A:Yes, day use is available at Camp Bette Perot for $2 per person. At Camp Gambill for $1 per person.

Q:What are the requirements for adult attendees for troop camping?
A:All adult attendees for the campout must be currently registered members who have successfully completed the background screening requirements to volunteer with GSNETX. And at least one member attending the campout must have a current Troop Camp Training Certification and a current First Aid/CPR/AED Certification by a provider recognized by GSNETX.

Q:What is primitive camping at Camp Whispering Cedars, home of the STEM Center of Excellence?
A:• Primitive camping is located at the primitive camp site. If you are familiar with Camp Whispering Cedars map, primitive campsites are located by the Butterfly Pavilion, behind the MakeHer Space and Exploration Center.
• We do not provide gear at this time. You are required to provide your own gear and equipment.
• You are unable to drive to the primitive camp site. You should plan to park in the parking lot and walk your gear to the site.
• There is no bathroom located at the primitive camp site. The closest restroom is located in the Exploration Center.
• Please note that our primitive campsite is located at the bottom of a hill, and you will need to walk up/down a hill to get to and from the site.

Q:Will our group have exclusive access to the camp property?
A:GSNETX strives to provide outdoor leadership experience opportunities to as many girls as possible. As a result, we have greatly expanded the number of programs that we offer at our camps, and we have multiple activities taking place at our properties each weekend. Although a group may choose to reserve all sleeping spaces and designated day use spaces for the general camping weekend, there often will be other groups on camp participating in other programming opportunities.

Q:Will we have cell phone service at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:Cell phone service varies greatly depending on location, weather, and if you are trying to send a text or make a phone call. Please plan on being unplugged from technology while you are at camp.

Q:Will we have internet access at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:• No. We do not provide internet access for those spending the weekend at camp. We encourage you to take the time you are at camp to unplug from technology and enjoy the outdoors.
• At Camp Whispering Cedars, home of the STEM Center of Excellence, internet access is reliable to those spending the day or weekend at camp. It is encouraged to take the time while you are at camp to unplug from technology and enjoy the outdoors.

Q:Will we see wildlife while at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:There is a strong possibility you will see a variety of wildlife while at camp which may include spiders, snakes, insects, birds, armadillos, raccoons, and deer just to name a few. Please do not panic if you see any of our camp wildlife. Although you should not approach the wildlife, you may take a photo with your camera from a safe distance. Situations may vary greatly, but the general recommendation when you see wildlife is to pause and then back away slowly. Remember, we are in their natural environment.

Cancellations, Transfers, and Refunds

Q:Can I cancel my reservation?
A:If the start date of your campout is more than 2 weeks away, then you may cancel your reservation online. Please note that the 25% deposit is non-refundable.

After you cancel your reservation online, you must contact customercare@gsnetx.org to request a refund of any amount paid in excess of the non-refundable 25% deposit. Amounts paid in excess of 25% of your bill will be refunded within 6 weeks of the time the refund request is received by GSNETX. If a refund is not requested to GSNETX, then the refundable balance will be available in the UltraCamp account to be applied towards a different GSNETX campout that is completed by September 30 of the current year.

Refunds will not be processed for cancellations made within 2 weeks of the start of the campout.

**NOTE: For SU early reservations, the deposit is 50% and is non-refundable and non-transferable.


Q:Can I cancel or transfer my entire reservation and receive a full refund if someone in my group is ill or injured and cannot attend?
A:If an individual that is scheduled to attend your campout is ill or injured and cannot attend, then you may request a refund for their portion of the housing and activity fees that have been paid. This request must be submitted in writing to customercare@gsnetx.org prior to the start date of the campout and must be accompanied by a medical note documenting the illness/injury.

Refunds will be processed within 6 weeks of GSNETX receiving all requested documentation.


Q:Can I move/ transfer my troop or service unit camp reservation?
A:Reservations in UltraCamp cannot be moved or transferred to another date. However, if the start date of your campout is more than 2 weeks away you may cancel your reservation online and make a new reservation. Please note that the 25% deposit is non-refundable, but can be moved to the new reservation if the camping date is before the final camping weekend in May of the current membership year.

Refunds will not be processed for cancellations made due to a request to move or transfer a weekend reservation within 2 weeks of the start of the originally booked campout.

**NOTE: For SU early reservations, the deposit is 50% and is non-refundable and non-transferable.


Q:Can I receive a refund if my account shows a credit due to reservation modifications that I have made?
A:If the start date of your campout is more than 2 weeks away, then you may modify your reservation online and receive a refund of the credit amount paid. Please note that the 25% deposit is non-refundable.

After you modify your reservation online, you must contact customercare@gsnetx.org to request a refund of any amount paid in excess of the non-refundable 25% deposit. Amounts paid in excess of 25% of your bill will be refunded within 6 weeks of the time the refund request is received by GSNETX. If a refund is not requested to GSNETX, then the refundable balance will be available in the UltraCamp account to be applied towards a different GSNETX campout that is completed by the final camping weekend in May of the current membership year.

Refunds will not be processed for modifications made within 2 weeks of the start of the campout.


Q:If I cancel my reservation, can I choose someone else to have their reservation moved to the building(s) I had reserved?
A:No. All reservations are non-transferable.

Q:Will a refund be given if someone is deemed ineligible to participate in an option, activity, or event because they do not meet participation criteria?
A:No. A refund will not be provided if someone signs up for an option, activity, or event that they are ineligible to participate in due to participation criteria. Examples of this include, but are not limited to someone signing up for an activity that is designed for a certain program grade or age levels that they are not in, the participant not being a registered Girl Scout, etc.

Q:Will we receive a refund if we have to cancel because someone in the group may have been exposed to COVID-19, is experiencing COVID-19 symptoms, or is awaiting COVID-19 test results?
A:Yes, GSNETX will provide a refund if you need to cancel for the above reason related to COVID-19.

Financial Aid

Q:What is the deadline for financial aid requests?
A:Please note that all financial aid online requests must be completed by the person whose name the camp reservation is under. They must be submitted no later than 30 days before your reservation. We are unable to grant financial aid for a campout after the campout date has passed. All financial aid granted will be applied to the camp fees and is non-transferrable.

General

Q:Can we bring an animal to camp with us?
A:Visitors do not bring animals to camp, with the exception of trained service animals supporting a person with a disability.

Q:Do we have to self-check for COVID-19 symptoms prior to arriving at camp?
A:Yes. Everyone who will be at camp must self- check for symptoms prior to arrival on camp.

Q:Do we need to bring sunscreen and bugspray?
A:Yes. Please be sure to bring sunscreen and bugspray with you and reapply frequently while at camp.

Q:How do I create an UltraCamp account?
A:On the main page, please click the link that says, “create an account”. This will help you walk through the process to create an UltraCamp account.

Q:Is an UltraCamp account different from a MyGS account?
A:Yes. UltraCamp is a different system.

Q:Who do I contact for help logging in?
A:If you have previously created an account and are having difficulty logging in, please click on the link that says, "forgot login information". This will allow you to either retrieve your username or reset your password. You will have a choice for UltraCamp to contact you by either email or text message.

Housing

Q:Can adult males and females share a cabin, lodge, or tent at Camp Bette Perot, Camp Gambill, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:No. Camps have separate housing and latrines for males and females. Males must stay in the designated male housing space unless participating in an official GSNETX family camp event or a troop- or service unit-sponsored family camp event that has been pre-arranged with GSNETX, where all bed spaces in a unit have been purchased and each family has their own cabin or tent with males staying only in the cabin/tent with their family members.

Q:If adult spaces are not available in a unit, can we select one unit for girls to stay in and a different unit for adults?
A:No. The correct ratio of adults to girls for your troop/service unit must be maintained at all times. As a result, girls are not permitted to stay in a different unit than the adults that are responsible for supervising them. If you have any questions or need any help reserving bed spaces for girls and/or adults, please email camp@gsnetx.org.

Q:Is male housing available at camp?
A:If your troop/service unit reserves all bed spaces in that housing facility (cabin/ tent/ or lodge), then you may have female adults and girls share the space if all GSNETX policies and procedures are followed. This includes having a minimum of 2 unrelated female adults in the cabin. If only part of the beds are available to purchase in that housing facility, then you may not place adults in the cabin with girls from another group.

Q:May we put adults in the same cabin/ tent as girls?
A:If your troop/service unit reserves all bed spaces in that housing facility (cabin/ tent/ or lodge), then you may have female adults and girls share the space if all GSNETX policies and procedures are followed. This includes having a minimum of 2 unrelated female adults in the cabin. If only part of the beds are available to purchase in that housing facility, then you may not place adults in the cabin with girls from another group.

Q:What is a unit?
A:A unit is typically comprised of a group of cabins or platform tents, a latrine (building that houses showers, sinks, and toilets), and a unit shelter building that has a kitchen and activity space. Fire circles for outdoor cooking are also located in each unit.

The Laird West unit at Camp Bette Perot is a lodge building that has the sleeping space, latrine, and kitchen in one building.

Q:Will I share housing space with other people?
A:If your group does not purchase all bedspaces in cabins, lodges, or platform tents, other groups will likely purchase the remaining beds.

Meals

Q:Are dietary needs accommodated when I purchase meal service?
A:We are able to accommodate most dietary needs such as vegetarian or dairy free. Please be advised that we are not a dedicated allergen-free kitchen, and all foods are prepared in shared workspaces. Although we do not serve nut products, we cannot guarantee no cross-contamination.

After making the reservation in UltraCamp, there will be a dietary form for you to fill out. The deadline for the form is due two weeks prior to your campout.

Q:Are meals included in the price?
A:All campers are responsible for bringing and preparing their own meals, unless camp meals are purchased ahead of time in UltraCamp at the time of making your reservation. Meals cannot be purchased onsite.

A unit shelter with oven, stove, and refrigerator is provided in each unit at camp.

Payment

Q:How much is the deposit and when is payment due?
A:A deposit of 25% is due at the time the reservation is made and is non-refundable.

The remaining balance is due 2 weeks prior to your campout.

Q:May I pay using a check?
A:No, payments in Ultracamp are made using a credit or debit card online.

Reservation Process

Q:Can I reserve a facility that I do not see listed?
A:No. If you do not see the facility listed it is not currently available. For additional questions please email camp@gsnetx.org to inquire.

Q:Do I need to list every member of my family/troop/SU (adults and girls) who will be at camp in my reservation?
A:Yes. You are required to include every member of your family/troop/SU who will be attending in the reservation.



Q:How do I make a reservation for FAMILY camping at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:Family camping options may be limited. Please click on the “Reservations” tab then “New Reservation” to make a reservation for family camping. Any family camping options available will be listed under “Family Camp”. Once you select your date choice, you will then choose your housing choice by entering a “1” next to the cabin/tent of your choice. You will then scroll down to “Council Hosted Events” and enter your number of family participants.

Q:How do I make a reservation for TROOP camping at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:Please click on the “Reservations” tab then “New Reservation”, you will see a list of available camping weekends. Please select the weekend of your choice to make a reservation. You will then select the members of your troop that will be attending with you on the weekend you have chosen to attend.

Q:How long do I have to modify my reservation?
A:You can modify your reservation up to 2 weeks prior to your camping date. Please note that the 25% deposit is non-refundable.

Q:May I bring an infant, toddler, or other non-registered Girl Scout on a weekend camping trip such as day use, troop or service unit camping?
A:We understand that some adult caregivers have nursing infants and can only attend camp with their Girl Scout’s group if they are able to bring their infant with them. Please contact us if you need to make arrangements to bring your nursing infant to camp. Please bring any supplies and equipment you need to care for your baby, such as a bassinet and portable changing pad. Please be aware that a caregiver caring for an infant at camp CANNOT count towards the safety-wise ratios, First Aid/CPR/AED, or Troop Camp Trained adult for their group.

GSNETX may host a council-sponsored family camp event which welcomes participants who are not registered members. Please note this exception is only made for official GSNETX council hosted events that are listed as open to all ages including non-registered Girl Scouts.


Q:Will we receive additional information from the camp regarding our reservation at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars, home of the STEM Center of Excellence?
A:Yes, 5-7 days prior to the start date of your campout at Camp Bette Perot, Camp Gambill, Camp Kadohadacho, or Camp Whispering Cedars at STEM Center of Excellence, you will receive an email from the Camp Program Coordinator for that camp that provides additional details about your campout including the gate code that you will use to enter the camp property for that weekend. This information is sent to the person who made the reservation once the reservation is completed, and their account has been paid for in full. Please note that it is important that the person in charge of the campout who needs to receive this, or any other communication camp staff sends is the person who makes the UltraCamp reservation.
